Sonara ("we", "us") provides an AI receptionist product at choosesonara.com and related apps. This policy explains what we collect, how calls are processed by AI, and your choices.

Information we collect

AI processing, recordings, and transcripts

When someone calls a Sonara number, voice audio is streamed in real time to our telephony provider and to an AI speech model so the receptionist can understand speech and respond. That live audio is processed to provide the service; we do not sell call audio.

We store operational records of calls (for example duration, status, and summaries) and text transcripts where the product generates them, so you can review what happened and manage bookings. We treat those materials as business data belonging to your account.

AI models may occasionally mis-hear or mis-state information. You are responsible for confirming critical details with your customers when needed. Do not use the standard Sonara product for regulated healthcare conversations that require a signed BAA unless you are on an explicit HIPAA plan we offer.

How we use information

Processors we use

We use specialized vendors solely to run the product, including telephony (for example SignalWire), cloud hosting, payment processing (Stripe), email delivery, and AI speech/language providers (for example OpenAI). Those providers process data under their terms and only as needed to deliver Sonara. We do not sell personal information. We may disclose information if required by law or to protect rights and safety.

Data retention

We retain account, call logs, transcripts, and booking data while your account is active and as needed for legitimate business, security, and legal purposes. You may request deletion of your account by emailing us; we will delete or anonymize personal data we control except where we must keep limited records (for example billing history).

Your responsibilities

If your jurisdiction requires notice or consent for recording or AI call handling, you are responsible for providing that notice to callers (for example in your greeting) and complying with applicable law. Configure greetings and business settings accordingly.

Security

We use reasonable administrative and technical safeguards, including encrypted transport (HTTPS/WSS), access controls, and webhook verification where supported. No method of transmission or storage is 100% secure.
